Status: in development. Template and rule editing is planned and not available yet.

Templates

A template is one signature design. Create as many as you need.
  • Designer: build the signature from blocks (rows, columns, text, image, social icons, divider, banner). The designer produces HTML that displays reliably in email programs.
  • HTML mode: paste or edit HTML directly. Valedo removes anything that is unsafe in email (scripts, forms, external style sheets) when you save, and shows what it removed.
  • Placeholders: insert fields such as display name, job title, department, mobile phone and photo. They are filled in for each person. Hide a line when a field is empty, for example a mobile number that not everyone has.
  • Preview: see the signature as any person in your organisation, in light and dark mode.
  • Versions: every publish creates a new version. You can compare versions and roll back.
The template designer: blocks on the left, the signature in the middle, placeholders on the right, Publish at the top. The template designer: blocks, preview, placeholders and Publish. A template only reaches Outlook when you publish it. Drafts are never sent.

Images

Upload logos and banners in the Assets area. Valedo checks the file type and size and re-encodes images. Each asset shows which templates use it.

Rules

Rules decide which template each person gets. A rule has: The rules list with priorities, templates, message types and schedules, and the conditions of one rule. The rules list and the conditions of one rule. Conditions can test group membership and directory fields (equals, is one of, starts with, contains, exists), combined with all, any and not.

How Valedo picks a signature

  1. Ignore disabled rules and rules outside their schedule.
  2. Keep rules that match the message type and sender.
  3. Keep rules whose conditions match the person.
  4. Use the matching rule with the lowest priority number.
  5. If no rule matches, use the default template. If there is no default, insert nothing.
How Valedo picks a signature: filter rules by state and schedule, message type and sender, conditions, then the lowest priority wins. How Valedo picks a signature, step by step.

Test as user

Before you publish, use Test as user: pick a person and a message type to see which rule matches and why each other rule doesn’t. Test as user shows which rule matches a person for a message type and why each other rule doesn't. Test as user shows which rule matches and why the others don’t.

Checks when you save

Valedo checks that the groups exist, that a schedule ends after it starts, and that no two enabled rules share a priority.

Settings

In Settings, choose the default template, which message types get a signature (new, reply, forward) and what happens when nothing matches.
