How you are charged

Valedo is billed by Microsoft on your Microsoft invoice. You pay a flat monthly fee for your organisation, which includes a number of mailboxes. Each mailbox above that number is charged at a per-mailbox price. You never buy or assign individual licences: Valedo counts your mailboxes for you.

Which mailboxes count

Valedo counts the active, licensed user mailboxes in your organisation once a day. The planned rule is: enabled user accounts that have an Exchange Online licence. Shared, room and equipment mailboxes without a licence, and guests, are not counted. The charge for a billing period is based on the highest daily count in that period. The billing period follows your subscription’s own dates, not the calendar month.

In the Admin Portal

The Subscription and billing area shows:
  • your plan, its state and the trial days left;
  • today’s mailbox count and the highest count in this period;
  • the list of counted mailboxes, which you can export to CSV;
  • an estimate of the next charge;
  • a link to billing in Microsoft 365 admin center.

Trial, renewal and cancellation

  • The 14-day trial converts to a paid subscription automatically unless you cancel it.
  • Cancel in Microsoft 365 admin center. Signatures keep working for 30 days after you cancel, so you can move to another solution without a gap. Microsoft doesn’t charge you for this period. You can extend it once in Subscription and billing.
  • If Microsoft suspends the subscription (for example, after a failed payment), signatures pause until it is reinstated. If Microsoft then cancels it, signatures stay off but you can still export your data.
  • You can export your templates, rules, images, counted mailboxes and audit log at any time. After the 30 days you can still view and export them, read-only, for at least 30 more days; the page shows the deletion date. Then your data is deleted. Records that the law requires are kept. See terms of service, section 7.

Support access

If you contact support, an admin can grant Valedo support staff time-limited, read-only access to your templates and rules in Settings. Every view is recorded in your audit log.
